Summary
The Director of Events and Administration manages the overall planning and execution for all live and virtual events for Total Sports and The Art of Coaching. Additionally, this position includes a supervisory role over customer support, retail fulfillment and office administration. We are looking for someone who can manage multiple projects simultaneously, consistently meet deadlines and take the initiative to ensure we are delivering best-in-class experiences while aligning with the Company’s objectives.
Duties and Responsibilities
Oversee or collaborate on all aspects of Company events, including:
- Work closely with team members to finalize event schedules and programming
- Manage all event-related agreements including host/facility, on-site vendors and third-party providers
- Build out event details and registrations in the event/ticketing software system
- Manage registrations and registration reporting
- Communicate with event host/facility to coordinate details and needs leading up to events
- Coordinate travel, lodging, transportation, meals and other logistics for all events
- Work closely with team members to ensure all details are in-place to successfully market and promote events
- Document tasks, progress and event details in project management software
- Coordinate event-related materials including attendee handbooks, shirts, name tags, promotional products, supplies and equipment
- Participate in weekly team meetings and present updates related to upcoming events
- Coordinate and manage all on-site staffing including AOC Team Members, hired contractors and volunteers
- Oversee on-site retail sales including POS system, product and inventory management
- Manage inbound and outbound shipping
- Develop detailed itineraries for each Company event
- Oversee event set up and tear down
- Coordinate event details with sponsors and partners, including on-site presence, promotion and activation , products/inventory and program execution
- Maintain and coordinate all event equipment, displays and materials
- Develop post-event documentation to assist with future event planning and execution
Oversee Administrative functions, including:
- Manage customer support to maintain a consistently high level of service and responsiveness
- Manage retail operations including inventory, production and fulfillment
- In conjunction with Accounting personnel, manage in-office financial activities including invoicing, bank deposits and account reconciliations
- Coordinate office-related vendors and services
- Delegate responsibilities/assignments to in-office personnel and ensure completion
- Maintain key company and partner relationships
- Other duties as assigned
Qualifications
- Bachelor’s degree required. Business, Sport Management or Hospitality major/concentration preferred
- 3+ years of event management experience
- Excellent oral and written communication skills
- Ability to develop and maintain strong relationships with industry professionals and strategic partners
- Proficiency in Microsoft Office and Google Suite programs
- Experience in event ticketing software platforms
- Team-centric, positive approach with a professional demeanor
- Ability to work independently
- Excellent time management and prioritization skills
Working Conditions/Requirements
- Domestic travel (8-12 times per year)
- Availability to work specific evenings and weekends (approximately 12-15 times per year)
- Ability to lift up to 50 pounds
